New legislation on how your data is treated will take effect from the 25th May 2018. This is the General Data Protection Regulation or GDPR for short. In order to reflect these changes, amendments have been made to our privacy policy and is shown below.

We do not collect personally identifiable information about you - such as your name, address, telephone number, e-mail address, etc. unless you choose to fill out a 'Contact Us' form or ‘Submit a Claim’ form, found on our site or if you choose to email us directly.

Your personal information will normally be stored electronically in our case management systems. Some of your personal information is stored in paper format whilst work is carried out on it, but once complete, wherever possible, it will be scanned and stored electronically. 
 
How long will we keep your Personal Information? 
 
We will store your information until such time as we will no longer need it. Once your matter with us ends, we may decide to delete some of the information held about you after six years. If we are acting as Conveyancers and are acting for a lender, we will need to comply with the requirements of the UK Finance Mortgage Lenders Handbook. Retention periods may be different, for example six years for litigated matters, 12 years for property purchases, 6 years for property sales and until the age of 21 for matters involving a minor.

We employ security measures to prevent unauthorised access to information that we collect online. However, we cannot guarantee the security of your personal information. 
 
What are your rights? 
 
You have the right to request confirmation that we are processing your personal information along with a copy of your personal information and details in relation to how we are using said information. 
 
You can request copies of paper and electronic records about you that we hold. 
 
To deal with your request, we will ask for proof of your identity and we may request information about you to enable us to locate the personal information you have requested. 
 
When requesting access to your personal information, please state in your request the personal information that you would like. If this is unclear, we may need to ask you for further information before processing your request. 
 
If any of your personal information is incorrect, you have the right to have the information corrected. 
 
You have a right to have your personal information erased if the personal information is no longer necessary for the purpose it was originally collected or you withdraw your consent and such consent was previously required for us to process the information or we’ve been processing your personal information unlawfully, or your personal information has to be erased in order to comply with a legal obligation. 
 
The right to erasure does not apply where your information is processed for certain specified reasons, such as for legal claims or property transactions or litigated matters. We will often have a legal obligation or a legitimate interest to retain certain pieces of your personal information which may override your request, for example, if we act for you in a property transaction and a lender is involved, we are under a duty to retain all information, including your personal information for a set period of time. 
 
Costs 
 
Any requests you make with respect to your personal information will be responded to without charge unless you make excessive or repeated requests, or where you request additional copies of information that we have already provided previously. In those circumstances, we will charge a reasonable fee to cover our administrative costs or we may reserve the right to refuse to respond if we are so entitled. 
 
Please consider the above prior to request any information, and we will respond as soon as we can, which will generally be within one month from when we receive your request. We will of course advise you if it is likely to take longer.
